Send Unique Confirmation Emails to Orders per Sales Channel - Shipping Rules

If you use a third-party inventory management system, you likely have orders from multiple platforms all syncing into that one source. Sometimes these individual platforms, such as Amazon, require that you send emails through their server. In other cases, you may want to brand communications for each Sales Channel. By using Shipping Rules, you can customize Shipment Confirmation Email Templates and send them based on the Sales Channel.

There are a couple of ways that this rule can be configured:

  • Create an Email Template branded for each Sales Channel. Then create a Shipping Rule for each Sales Channel.

  • Create an Email Template that can be used for all Sales Channels, except those that are prohibited (eg. Amazon). Then create a single Shipping Rule that excludes the prohibited Sales Channel from emails.

We will show you how to configure each of these options in the sections below.

Assign a Customized Shipment Confirmation Email for each Sales Channel

Use this rule when you want to precisely control what message is sent to each of your Sales Channels.

This will require creating a custom Email Template for each Sales Channel before configuring the Shipping Rule.

  1. For example, "eBay Shipment Confirmation (Channel Advisor)".

  2. Set the "IF" condition. For Example, we might set the Store to "Channel Advisor" and the Sales Channel to "eBay".

If store is equal to Channel Advisor and sales channel is equal to ebay
    • Store | Is equal to | platform that is directly integrated

    • Sales channel | Is equal to | platform that is integrated through the third party

  3. You can further narrow down which orders will receive this shipment confirmation by adding additional conditions. Do so by clicking the grey + Add button.

add button on shipping rules page
  4. Set the "THEN" action to Set shipment notice template and select the template you created specifically for the sales channel. For example, "eBay template"

Then rule showing set shipment notice to ebay template
    • Set shipment notice template | select the template from the drop-down

If you have other Sales Channels integrated through your Store, repeat these steps for each Sales Channel.

Exclude Specific Sales Channels from Receiving a Shipment Confirmation

Use this rule when you want to do more with less. With a single Email Template, you will restrict which orders will be sent the Shipment Confirmation. The most common use case for this is to exclude all Amazon shipments. However, this can be customized in any way you wish.

Before setting up this Shipping Rule, make sure that you have completed customizing your Shipment Confirmation Email Template.

  1. For example, "Shipment Confirmations exclude Amazon".

  2. Set the "IF" condition. For example, we might set the Store to "Channel Advisor" and the Sales Channel to "Amazon".

if store is equal to Channel Advisor and sales channel is not equal to Amazon
    • Store | Is equal to | platform that is directly integrated

    • Sales channel | Is not equal to | platform that is integrated through the third party

  3. You can further narrow down which orders will receive this Shipment Confirmation by adding more conditions. Do so by clicking the grey + Add button.

add button on shipping rules page
  4. Set the "THEN" action. For example, we might have created one called "Channel Advisor Shipments".

then set shipment notice template to Channel Advisor shipments
    • Set shipment notice template | select the template you created
