How to: Select which statuses sync from my Magento store

Created:   |   Updated:

We understand you have many different processes when it comes to fulfilling your orders. To cater for this, Magento customers have the ability to select the exact Order State you would like for us to download.

By default, the orders with the state of "New" and "Processing" will pull into your ORDERS page. It's easy to edit these settings.

To select which statuses sync from Magento:

  1. Navigate to SETTINGS > STORES & ORDERS.
  2. Under your Magento store, click Edit Store Settings.

  3. Scroll down to the "Enabled Order Statuses" section and check each status that you'd like to sync into ShippingEasy.

  4. Scroll to the bottom of the page and Save your changes.
  5. Then head back to your ORDERS page and click Sync with Store.

Tips for configuring your statuses in Magento:

In Magento "Order State" and "Order Status" are not the same thing.

  • Order State: used by Magento to tell if your order is new, pending payment, processing, payment review, on hold, complete, closed and canceled.
  • Order Status: what you define in the backend of your store. Remember, multiple "Order Status" can be mapped to one "Order State".

You can review or update your "Order State" and "Order Status" mappings within your Magento Admin Panel. The steps vary depending on if you are using Magento v1.x or Magento v2.x.

To review or update Order State and Order Status mappings in Magento v1.x:
  1. Log into your Magento Dashboard.
  2. Navigate to System Order Statuses.

  3. Select either Assign Status to State or Create New Status

To review or update Order State and Order Status mappings in Magento v2.x:
  1. Log into your Magento Dashboard.
  2. Navigate to System Order Status.

  3. Select either Assign Status to State or Create New Status

How do I use custom statuses to sync orders? This article references creating a new status, but not how to sync it? As part of the sales process, I was told that a custom status could be used to sync orders. Thanks.

Hello Matt, and thank you for posting to our support center.

Based on the information we have available, it would appear you need to map your custom statuses to the Order States available for syncing: new, pending payment, processing, payment review, on hold, complete, closed and canceled. That would be done using the 'Assign Status to State' buttons available in Magento.

The instructions under the sections "To review or update Order State and Order Status mappings in Magento v1.x:" or "To review or update Order State and Order Status mappings in Magento v2.x:" listed in the article above, should help you locate that option.

    Thank you.
