How to use ShippingEasy with eBay

eBay integrates directly with ShippingEasy. eBay is a platform for selling your products which makes it easy to receive orders and ship them to your customers. ShippingEasy will automatically send queries to read the orders from your eBay account and then load them into our application. Once shipped, shipment data will be sent back to your eBay store. To integrate your eBay store with ShippingEasy, follow our step-by-step guide.

When integrating, eBay will require that you agree to grant ShippingEasy access to your eBay account.  eBay may ask you to answer some security questions to verify your account before allowing it to connect with ShippingEasy. This is to ensure privacy and security when connecting your store with a third-party application such as ShippingEasy.

Syncing Orders

Once eBay is integrated with ShippingEasy, orders that have been placed in the last 14 days will begin to appear on the ORDERS page. The following are frequently asked questions about syncing orders from eBay to ShippingEasy.

How often are my orders synced from eBay to ShippingEasy?

By default, ShippingEasy will sync with your store hourly to pull in any new orders.

How do I get existing eBay orders synced to my new ShippingEasy account?

If you have orders older than 14 days old, you can create manual orders for these shipments. Learn how to add manual orders one-by-one or via a CSV file.

If you are on a paid plan, you will see links on the navigation bar to contact our Customer Success team for assistance; it may be possible to sync your older orders. Keep in mind the orders must be in a syncable status. When you contact us, please provide:

  • eBay "record numbers" that did not pull into ShippingEasy 
  • Date the orders were created. 
  • The orders' statuses.
Are all orders sent from my eBay account to ShippingEasy?

Only "Complete" and unshipped orders up to 90 days old will sync with ShippingEasy.  "Paid" orders will always sync; however, you can choose whether you'd like to sync "Unpaid" orders as well. By default, both these statuses will be configured to sync into ShippingEasy. Learn more about enabling eBay order statuses.

Which order number is displayed in ShippingEasy?

ShippingEasy displays the Sales Record Number of an eBay listing in the Order Number column on the ORDERS page. Learn more about locating the record number on eBay. In the Alt Order Number column, the eBay Order Number will be displayed.

How are orders handled by ShippingEasy that are combined in eBay before syncing?

For orders that are combined within eBay (before coming into ShippingEasy), ShippingEasy will display a single order number.

ShippingEasy also stores the original order numbers as a hybrid number, available in the Alternate Order Number field. This number can also be searched from the Global Search bar.

What happens if I click Sync on the ShippingEasy ORDERS page?

The Sync link prompts ShippingEasy to pull through orders in an approved status. If your store is set up for automatic order downloads, selecting the Sync link will download orders since the last time a sync completed.

A sync is run automatically each night and can be run manually using the Sync link.

If you have disabled the automatic order download, you must use Sync to download your orders. It can take 15-20 minutes for orders to populate after selecting Sync.

Editing Orders and Shipments

ShippingEasy can recognize when certain changes have been made to an order in your store. For a complete overview, check out our FAQs on the topic. The following are frequently asked questions specific to eBay orders that are still on the ORDERS page.

If I combine two orders in ShippingEasy, do both orders get updated on eBay?

Yes. ShippingEasy will update each order with a "Shipped" status. However, if a service that includes tracking was selected, only the master order will be updated with the tracking number.

If I split an order in ShippingEasy, will ShippingEasy update both tracking numbers to eBay?

If you split the quantity of the order, only the most recently shipped order will update eBay with a tracking number.

If you split line items, each tracking number will go back to the original order.

There is no concept of partial shipments on eBay. There is no option to purchase multiple items and send them to multiple recipients. Each overall order has a single recipient.
Can I view the Buyer ID for my pre-shipment orders?

Yes, you can configure the columns on the ORDERS page to display the Buyer ID for your orders.  Learn how to customize the column headers on the ORDERS page.

Will ShippingEasy display the Ship By date for my eBay orders?

Yes, the "Ship By" date is displayed in an optional column on the Orders page: Ship By Date. This date matches the Ship By Date listed in the Orders section of the eBay Seller Hub user interface and indicates the latest date you should ship an order to ensure your package/s arrives at your buyer within the estimated delivery window. Learn more about how to arrange columns on the Orders page.


If I cancel an order on eBay, will it automatically be cancelled in ShippingEasy?

Yes. In fact, if an order present on the ORDERS page is cancelled or marked as shipped on eBay, then ShippingEasy will remove the order from your ShippingEasy account.

In order for a customer to cancel an eBay order, they must send a request to the seller. Only when the seller approves the cancellation request will the order be removed from ShippingEasy.
If I refund an order on eBay, will it automatically be removed from ShippingEasy?

No, when you refund an order in eBay it is moved from "Awaiting Shipment" status to "Awaiting Payment". As the order is not cancelled on eBay, ShippingEasy will not remove it from your account.

Since ShippingEasy has a read-only API with eBay stores, the status of your order will not update when an order is refunded. It will stay listed as "Awaiting Shipment" in ShippingEasy. If your customer is not cancelling the order, you may want to use Order Notes or Order Categories to flag the order for special handling. Learn more about Order Notes and Order Categories.

Shipment Changes and Updates

ShippingEasy updates your store with order information throughout the entire shipping process.

What information is sent back from ShippingEasy to eBay?

When you create a shipment for an order that was synced with eBay, ShippingEasy updates to your store by marking the order as "Shipped" and provides eBay with the ship date, carrier name, and tracking number (if included).

Carrier name will appear as "Other" when using Globegistics, APC, or RR Donnelley carriers.
If I dropship (mark as shipped) an eBay order in ShippingEasy, will the order get updated in eBay?

Yes. ShippingEasy will update orders with a "Shipped" status. If a valid tracking number is provided, we will also update the tracking number back to eBay.

If I create a duplicate shipment from SHIPMENT HISTORY in ShippingEasy, will the tracking number update on eBay?

No. Once an order has received tracking information in eBay, it will not receive new tracking information from subsequent duplications of the same order, shipped in ShippingEasy.

Orders and Product Information

ShippingEasy displays your order and product information on the ORDERS page, where you can customize what information you see. Learn more about customizing your ORDERS page.

What product information from eBay is displayed in ShippingEasy?

The following product details are displayed in ShippingEasy:

This information can be found by navigating to SETTINGS >> STORES & ORDERS >> Edit Store Settings link under the eBay store listing.

Are warehouse locations displayed in ShippingEasy?

No. However, you can set up a Product Catalog in ShippingEasy to map warehouse locations to specific SKUs. Learn more about the Product Catalog.

Email Notifications

By default, ShippingEasy automatically sends shipment confirmation emails to your customer once their order has been shipped. Return label emails can be automatically sent to customers if they have included an email address with their order.

Any email communications sent from ShippingEasy to your customers must be in compliance with eBay's member-to-member policy. This means the emails cannot contain contact information like email addresses, phone numbers, or website URLs. Additionally, if you are using ShippingEasy's Branded Tracking Page, you cannot include non-eBay store URLs or social media links.

eBay will block email communications - including emails from ShippingEasy - that violate their member-to-member policy. To ensure your shipment and delivery confirmation emails make it to your customers successfully, follow the guidelines provided below for both email templates and your Branded Tracking Page. ShippingEasy will not notify your customer when an eBay Global Shipping order has been processed.

Customer Marketing

ShippingEasy offers a Customer Marketing solution to help build and grow relationships with your customers. Customer Marketing can be added to your ShippingEasy subscription at any time. Troubleshooting tips

The following are common issues and resolutions that can occur with ShippingEasy’s eBay integration.

Why are my orders not downloading from eBay?

If you have not already, please click the Sync with Store button from the ORDERS page. If this has been done already, and you have waited at least 20 minutes with no success, it could be due to one of a few factors:

  1. The automatic order download has been turned off. If your account has been idle or you have disabled the automatic order download, you will need to click the Sync with Store button on the ORDERS page to prompt your orders to download. Learn more about disabling automatic order downloads.
  2. Check the status of the order. ShippingEasy can only sync "Complete" orders in Awaiting Shipment or Awaiting Payment status. Furthermore, you can customize if paid and/or unpaid orders sync - learn more. If the order is in a non-syncable status at the time of the sync, it will not sync automatically.
  3. Verify the order date. The initial order sync will bring in orders placed within the last 14 days. Future orders should sync as long as they are in a status that syncs.
  4. Confirm that your eBay store is connected to ShippingEasy. Any changes made to your store settings (such as a password update) will require you to update the API information you entered when you first integrated.  Check SETTINGS >> STORES & ORDERS to confirm if your store is active. If the Reconnect button is present, select this and re-enter your integration credentials.  Learn more about locating your credentials.
  5. Authentication Token may have expired.  They need to be reauthenticated every 18 months.  Learn more.

How does eBay Global Shipping work with ShippingEasy?

The eBay global shipping program allows eBay sellers to sell to international customers without having to cover the international postage.

International customers will place the orders with their international address, but the merchant will send it to the eBay distribution center, and then eBay sends it overseas.

I'm confused on what I'm supposed to choose as far as shipping methods go when creating an E-bay listing.  Will those be the only options that come over to shipping easy?  How are shipping rates calculated for the customer.  The shipping calculator on E-bay is making me so confused.

Please help.

I want to use ShippingEasy to fufill my E-bay orders through USPS.  But I don't know what I'm supposed to mark in my e-bay listing itself to make this possible.   Thanks!

ShippingEasy does not offer live rate quotes to your buyers. This is because ShippingEasy does not affect the front-end of your website. Our integration allows the syncing of order details and updating shipping details back to your store automatically.

That said, certain stores that integrate with ShippingEasy do offer live rate quotes for shipping costs. In other cases, these stores support third-party plugins that provide live rate quote services.

Keep in mind that if you extend any carrier service to your customers, you should be sure to connect these carriers to ShippingEasy.

If your store platform does not offer real-time quotes, you can only set your shipping rates according to weight, not by zone. This means that you will have to manually set your shipping rate quotes based on the weights of the package and not their destination.
